Funding Your Research

Faculty, students, librarians, and staff from Center for Renaissance Studies consortium institutions may be eligible to apply for travel funding to participate in Center for Renaissance Studies programs or to conduct research at the Newberry.

Each member institution sets its own policies, requirements, and deadlines for granting funds. Some may limit eligibility to specific departments, colleges, or other units within the university. Contact your consortium faculty representative in advance of incurring any expenses for details and authorization. 

Consortium grants may be paid out in two ways:

  • Reimbursement of expenses after your trip to the Newberry is completed (less likely to be a taxable event).
  • Advance stipend paid before expenses have been incurred, requiring follow-up documentation after your trip to the Newberry has been completed. Note that advance stipends are treated as taxable income.

Apply for Reimbursement

  • A completed reimbursement request form.
  • Copies of your receipts for all claimed expenses, except for mileage or small amounts for which receipts are not available, such as local public transportation. Note that different Consortium member schools maintain distinct policies about what expenses are eligible for reimbursement. Check with your faculty representative to confirm what is eligible for reimbursement at your institution.
  • A completed W-9 tax form (or W-8BEN tax form if you are a foreign national or non-permanent resident). View W-9 instructions; view W-8BEN instructions.
  • Approval from your consortium faculty representative, in the form of a signature on your reimbursement request form or email from your representative (send to Dr. Rebecca Fall or the Center for Renaissance Studies).
  • OPTIONAL: ACH Authorization Form (for U.S. bank accounts) or Wire Transfer Authorization Form (for non-U.S. bank accounts). Most payments will arrive via check. Some international consortium members may require reimbursement via wire transfer due to restrictions on foreign checking. In that case, please submit a Wire Transfer Authorization Form in addition to the documentation described above.

Please do not mail hard copies if you can avoid doing so.

Payment will typically be made by check (see exceptions described in the processes below), which should arrive within 2-4 weeks after we receive all your documentation and process your grant request.

Apply for an Advance Stipend

The following documents should be submitted before your trip to the Newberry. Please direct any questions to Dr. Rebecca Fall or email the Center for Renaissance Studies

  • A proposed budget, including estimated costs for transit, accommodations, meals, necessary registration fees, etc. Note that different Consortium member schools maintain distinct policies about what expenses are eligible to claim. Please provide proof of participation in the Center for Renaissance Studies program no later than one month after your trip to the Newberry has been completed. Submit your proof of participation via email to Dr. Rebecca Fall or the Center for Renaissance Studies. Depending on what is most convenient and appropriate for the grantee, proof of participation could take several forms, including:

  • A brief research report
  • Receipts from travel
  • A conference program

If you do not provide proof of participation in a timely manner, you may be required to repay the full amount of your grant back to the Newberry Center for Renaissance Studies.
